This Privacy Policy explains how BAC CPA LLC (“BAC CPA,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you interact with us through our website at www.cpa-bac.com, our mobile application, and our client software and portal interfaces (collectively, the “Services”).

We are a licensed certified public accounting firm. Because we handle sensitive financial and tax information, we treat privacy and confidentiality as core professional obligations, not just legal requirements.

2. Scope

This policy applies to:

●      Web — our public website (www.cpa-bac.com), including inquiry and contact forms.

●      Mobile app — our branded mobile application available on the Apple App Store and Google Play.

●      Software / client portal — the secure interface you use to exchange documents, sign engagements, message our team, make payments, and manage your engagements.

Our mobile app and portal are powered by our infrastructure provider, TaxDome (see Section 7).

3. Information We Collect

Information you provide to us:

●      Identity and contact details (name, business name, mailing address, email, phone).

●      Tax and financial information you submit for our services, which may include Social Security or Taxpayer Identification Numbers, income and expense records, bank and account information, and supporting documents.

●      Account credentials and profile settings.

●      Communications you send us (messages, emails, uploaded files).

●      Payment information you provide to pay invoices (processed by our payment processor; we do not store full card numbers).

Information collected automatically:

●      Device and usage data (device type, operating system, app version, IP address, log data, and interactions with the Services).

●      Cookies and similar technologies on our website (see Section 12).

Mobile app permissions: the app may request access to your device camera, photo library, files, or notifications so you can capture and upload documents and receive alerts. You control these permissions in your device settings.

4. How We Use Information

We use information to:

●      Provide accounting, tax preparation, advisory, and related professional services;

●      Authenticate you, operate and secure the Services, and troubleshoot;

●      Communicate with you about your engagements, documents, and requests;

●      Process payments and manage billing;

●      Comply with our legal, regulatory, and professional obligations;

●      Improve the quality and reliability of the Services.

We do not sell your personal information, and we do not use your data for third-party advertising.

5. Professional Confidentiality and Tax Information

As a CPA firm, we are bound by professional standards of client confidentiality. In addition:

●      Tax return information is protected under Internal Revenue Code § 7216 and its regulations, which restrict how preparers may use or disclose that information. We will not use or disclose your tax return information except as permitted by § 7216 (for example, to prepare your return, to provide the services you engaged us for, or with your specific written consent).

●      We maintain an information security program consistent with the Gramm-Leach-Bliley Act (GLBA) and the FTC Safeguards Rule (16 C.F.R. Part 314), which apply to firms that handle consumer financial information.

6. How We Share Information

We share information only as needed to run our practice and serve you:

●      Service providers / infrastructure who process data on our behalf under contract (see Section 7);

●      Payment processors to complete transactions;

●      Government authorities or other parties when required by law, regulation, subpoena, or to protect our rights, and otherwise consistent with IRC § 7216;

●      With your consent, including any disclosures that require your specific written authorization.

We do not sell or rent personal information.

7. Infrastructure Provider (TaxDome)

Certain processing operations for our mobile app and client portal are performed by our infrastructure provider, TaxDome. TaxDome hosts and processes data on our behalf under contractual data-protection obligations. You can review TaxDome’s privacy practices at https://taxdome.com/privacy.

8. Data Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit and at rest, access controls, and multi-factor authentication for account access. No system is perfectly secure, but we work to protect your information consistent with the GLBA Safeguards Rule and CPA professional standards.

9. Data Retention

We retain personal and financial information for as long as needed to provide the Services, to comply with legal, tax, and professional record-retention requirements, and to resolve disputes or enforce agreements. Retention periods for tax and financial records are generally governed by applicable law and professional standards.

10. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, or request deletion of your personal information. To make a request, contact us at techsupport@cpa-bac.com. We will respond consistent with applicable law.

Please note: certain financial and tax records are subject to legal retention requirements, and some information is exempt from deletion under laws such as the GLBA. We may need to verify your identity before acting on a request.

Account and data deletion (app users): Accounts cannot be deleted from within the app or portal. To request deletion of your account or associated data, contact BAC CPA LLC at techsupport@cpa-bac.com (or 833-222-2721) with the subject line “Data Deletion Request.” We will process the request subject to the legal retention obligations described above.

11. Children’s Privacy

The Services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will take appropriate steps.

12. Cookies and Tracking

Our website uses cookies and similar technologies to operate the site, remember preferences, and understand usage. You can control cookies through your browser settings. We do not use cookies for cross-site advertising.

13. Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, notify you through the Services.
